Integrated Client Company Login

When signing in on SMARTEDGE you can select client companies or select tasks that you need to perform for a client. When a task is selected the user gets signed in on the client company the task is for. Furthermore, automatic time tracking of your work session is enabled and the time spent will be added to the clerk's time sheet for that particular task on that particular day.

When tasks are not suitable for signing in, a client company can be selected and work session time tracking can be enabled manually.

Task and Time Management

SMARTEDGE Practice Management offers you easy time management for yourself and your clerks. Time spent on client tasks can be marked as chargeable and automatically invoiced to the client.

Future tasks can be assigned to any employee who will then get an alert of the task and see the task in his or her task list. As the task is performed, time can be tracked manually or automatically by enabling SMARTEDGE work session time tracking when signing on to the client books.

Upon completion of the task it can be invoiced, appended to a contract for later invoicing or costed on an existing invoice. The latter alternative is very useful if you offer your services on monthly fixed contracts and want to see how much each monthly invoice actually costed in terms of labour time.

Service Cases

Service Cases allows you to easily track multiple service activities for a customer. Service Cases can be loaded with future recurring tasks that need to be performed for the client, for example as VAT submission, Tax Submission.

Service Cases can contain both chargeable, non-chargeable and internal services. When the case is completed it can be automatically invoiced for any chargeable items.

Templates can be created to allow for creating recurring types of service cases. If there are similar tasks being done for different customers a template can be used to create tasks automatically. For example you can create an annual Service Case for each client containing every regular and recurring task you need to perform for that client. The tasks can be assigned to any employee and will appear in that employee's task list

Appointments

With SMARTEDGE Practice Management you can easily track your appointments. Client appointments can also be marked as chargeable and invoiced.

All your appointments and tasks are displayed in your calendar where you can view what you need to do on a daily basis. There are also task and appointment lists available, from where you can plan your activities.

You can also add important notes on customers and invoices for later reference.

Client Trouble Tickets

Tracking customer requests and problems are easy with SMARTEDGE. All customer request can be added as trouble tickets and subsequently invoiced automatically if the request is chargeable.

A Trouble Ticket can contain many solutions and it can be worked on by different people. All solutions recorded on a trouble ticket are stored in your knowledge base and can be searched when capturing later trouble tickets.

Contract Management

If you offer your services on fixed monthly contracts you can create recurring invoicing contracts for your fees. Additional extra tasks can be automatically appended as once-off charges to your contracts. Contracts are linked to job schedules for recurring cyclical invoicing, for example monthly invoices.

Contracts can also be ad-hoc and pro-rata invoiced from the contract details window.

Simple Interface For Opportunities, Quotes and Invoices

With SMARTEDGE you get a simple and straight-forward interface to create opportunities, quotes and invoices. Opportunities and Quotes can seemlessly be converted to invoices without re-entering any data.

SMARTEDGE uses stages to track your sales. Therefore you only need to enter the information once. From there you simply process the sale from quote to invoice without any effort, and making changes to the quote before it is invoiced can be done withouth hassle. Simply open the quote and make the necessary changes and a revised quote document can be created and e-mailed on the fly.

One-click action to produce professional looking Quotes, Proformas, Order Confirmations, Delivery Slips and Tax Invoices in PDF format. All documents can be e-mailed to your customer, rather than printed.

Customers, Contacts and Items

Store your customers and contacts for re-use. You can also create different products and services to track sales of individual items, offering you superb understanding of what you are selling and who you are selling it to.

Storing and re-using this information removes any errors that often occur if you use a manual based system, for example invoicing using Excel. It also makes you much more efficient since you can quickly and easily add products to your invoices.

Keep Track of Payments

Just as important as getting out the invoice is getting the payment in. Included in our Invoicing system is customer statements and age analysis of outstanding payments.

An easy to use interface to capture payments as you get them from customers, with the option to match the payment to an invoice. Now you know who as paid and who has not.

Tracking payments properly makes it effortless to send statements to customers, either on a regular basis or when a customer request as statement. Your business will look much more professional, and you will have more control over your money.

Employee Incentives and Rewards

Incentives and rewards are handled automatically in SMARTEDGE. You can create commission and bonus plans for employees, and from these plans, commissions are calculated when invoices are issued.

Different commission percentages can be used for different employees. Furthermore, selected items can be excluded from commissions. Commissions and bonuses can also be granted to the team the employee belongs to and to the team leader. You can also determine whether commissions are payable upon invoicing or when payment is received.

Reporting

Easy to read reports give you full view of your quotes and invoices. The reports can be customised to view data for different time periods.
